Job Title: Project Coordinator – Head Office
Location: Head Office, Tanzania
Reports To: Director of Projects / Program Manager
Employment Type: Full-Time
Job Purpose
The Project Coordinator serves as the central point of coordination for all ongoing projects across various cities. This role ensures that projects are aligned with organizational goals, timelines, budgets, and quality standards. The coordinator will support project teams remotely, facilitate communication, and provide strategic oversight from the head office.
Key Responsibilities
Project Oversight & Monitoring
· Track progress of 15+ projects across different cities using dashboards, reports, and regular updates.
· Ensure projects adhere to timelines, budgets, and scope.
· Identify risks and bottlenecks early and escalate to senior management.
Reporting & Documentation
· Prepare weekly and monthly consolidated project reports for leadership.
· Maintain accurate records of project milestones, budgets, and deliverables.
· Develop templates and tools for standardized reporting across all locations.
Communication & Coordination
· Serve as liaison between head office and field project teams.
· Facilitate virtual meetings, status updates, and coordination calls.
· Ensure consistent communication flow between departments and cities.
Strategic Support
· Assist in aligning project goals with organizational strategy.
· Support resource allocation and prioritization across projects.
· Contribute to project planning and proposal development.
Compliance & Quality Assurance
· Monitor adherence to organizational policies, donor requirements, and regulatory standards.
· Conduct periodic audits and evaluations of project documentation and performance.
Capacity Building & Support
· Provide guidance and training to field coordinators and project managers.
· Share best practices and lessons learned across teams.
· Support onboarding of new project staff.
Qualifications & Skills
· Bachelor’s degree in Project Management, Business Administration, or related field (Master’s preferred).
· Minimum 7–10 years of experience in multi-project coordination, preferably in a multi-site environment.
· Strong organizational and analytical skills.
· Excellent communication and interpersonal abilities.
· Proficiency in project management tools (e.g., MS Project, Trello, Asana).
· Ability to work independently and manage multiple priorities.
Desirable Attributes
· Experience working in diverse geographic and cultural contexts.
· Willingness to travel occasionally to project sites.
